Policy for Protection of Personal Information

 Based on our basic philosophy of “Customer First”, AEON MALL Co., Ltd. (hereinafter referred to as “we”) now declare that we shall be fully aware of the social mission for the protection of all personal information which our company deals with, and comply with the laws and regulations concerning personal information and the protection of an individual’s rights. Additionally, we shall build a personal information protection management system in order to embody the following policies, and make a company-wide concerted effort in continuous improvement of the said system through acknowledgement of always changing social demands and management environments.

  1. We shall acquire, use, and provide personal information within the scope necessary to carry out appropriate business operations in the business field of shopping mall management and operations, housing etc., as well as in the employment of personnel and in human resource management. We shall not use such personal information beyond the scope necessary for these specific purposes.
  2. We shall comply with all laws and regulations, national guidelines, and other rules related to the protection of personal information.
  3. In order to prevent risks such as leakage, loss, and alteration of personal information by taking rational security measures, we shall allocate managerial resources to meet the business situation, and improve the security system for personal information. In the event of such a risk occurrence, we shall take corrective actions immediately.
  4. We shall promptly and honestly respond to any complaints or queries concerning the management of personal information.
  5. We shall review the personal information protection management system appropriately at the right time and continuously promote the improvement in accordance with the change in the business circumstances surrounding our company.

Management of Personal Information

AEON MALL Co., Ltd. Manages all personal information in accordance with the following principles.

How we use personal information

We use personal information for the following purposes:

Customer information
  1. To issue member's cards and to send e-zines to customers (by AEON MALL and its tenant stores to provide card members with information on member privileges, changes made to the Challenge Point System, products, questionnaires, campaigns, discount sales, special events, various free gifts, details of products purchased by members, their prices and the Challenge points accrued, and other details by phone, by email via computer and cell phone, and by post using postcards and letters)
  2. To carry out surveys on the shopping trends of card members, verify the effects of sales promotion activities, and formulate sales promotion plans
Information on people who have made inquires To respond to opinions and inquiries and to answer requests
Shareholder information To send relevant publications, special gifts and other materials to shareholders
Information on business partners For business negotiations, for business communications, to receive and place orders, for charging or payment, and for other business operations
Information on landowners and leaseholders To develop shopping malls (by using the personal information disclosed in the register books of real properties, in basic residents' registers, and in other documents in appropriate and legally acceptable ways)
Employee information (including information on our tenants' employees) To manage personnel and labor affairs, manage business operations, and for health and safety management for employees
Personal information on job applicants To communicate with job applicants and to manage our personnel operations

Provision of personal information

We may make the personal information we have obtained for the purposes described above available to third parties. In such cases (described below), however, we will implement measures to ensure the protection of the personal information we provide.

  • (1) Purpose of making personal information available to third parties
    Mainly to share sales information with the stores located in the shopping malls we manage for the purpose of conducting shopping surveys, sales promotion and other activities, and in sending a range of information updates to our customers by post and by other means
  • (2) Items of personal information provided to third parties
    Names, addresses, ages, members' card numbers, contact addresses, email addresses, sales results, and others
  • (3) Method of providing information
    We use door-to-door delivery services to send the relevant data in the form of recorded media and printed materials. When we send data in the form of electronic files, we protect access by using passwords.
  • (4) Types of third parties to whom we may disclose personal information and their attributes
    We may disclose personal information to stores located within the shopping malls that we manage, to judicial and administrative organs that require us to disclose information based on related laws, regulations, and other rules. We may also disclose personal information to certain third parties when we deem it necessary for the protection of important interests, for example to protect people's lives, health, or property.
  • (5) Management of personal information
    We mandate the third parties to whom we disclose personal information to protect the information in an appropriate manner.

Outsourcing of operations that involve personal information

We commission some of our business operations to outside companies to provide customers with better services. In doing so, we select companies whom we believe will manage personal information properly. We require these selected companies to sign an agreement that they will manage the personal information we provide according to best practices, including maintaining confidentiality and preventing information leaks.

You can choose whether to provide your personal information

You can choose whether to provide your personal information to us. But if you choose not provide us with the information we need, we may not be able to provide you with the appropriate level of service.

Disclosure and updating of your personal information

We will disclose, correct, or delete the personal information we receive from you if we receive from you a reasonable request to do so. However, if carrying out your request is likely to endanger the lives, physical health, properties, or other interests of other customers, or if we determine that it will substantially hinder us from performing our business operations, we may not agree to your request.
Where there are any provisions under relevant laws and regulations, we will respond in a way that is appropriate to those provisions.

Use of "cookies" and SSL

We use "cookie," on our website to make it more convenient for you to revisit the site, but those cookies do not to identify individual visitors to our site. You can also limit the use of cookies yourself. However, this may disable the use of some of the services our website provides.
We use Secure Sockets Layer (SSL) data encryption for all our web pages that require you to enter your personal information. We have also installed firewalls to protect the personal information you enter through our website. However, it is important to understand that we cannot ensure 100% security on our website due to the nature of Internet communications.

An authorized personal information protection organization

An authorized personal information protection organization is an organization authorized by the competent minister based on Article 37 of the Act on the Protection of Personal Information. An authorized personal information organization is intended to ensure the appropriate treatment of personal information by dealing with complaints on the management of personal information and by providing necessary information to relevant business operators.

How to request to see the personal information we hold on you (except for information on AEON Mall card members)

You or your representative can request that we tell you our purpose in holding personal information on you and to disclose that information to you, correct details in the information, add data to or delete data from the information, suspend use of the information, delete all the information, or stop providing your information to third parties by the following procedures using the prescribed request form.

  • 1.  Please request disclosure by fulfilling in the prescribed request form.
    Please enclose all the necessary documents and fee with the request form, and send them by post to the following address:

  • 2.  Specific documents to be enclosed with the request form.
    When you make a request for disclosure, please fill in all the necessary information on the request form (Document 1) and send it by post with all the required documents, including a copy of your identification document as described below. You can download a request form as a PDF file and print it out.
Document 1: Request form prescribed by us (to be used for a request for disclosure, correction, deletion, suspension of use, and stopping of provision to third parties for the personal information we hold on you)

Document 2: Copy of one of the following to prove your identity
  1. Driver's license
  2. Passport
  3. Health insurance card
  4. Basic resident's registration card
  5. Alien registration certificate

  • 3.  Requesting disclosure of information through a representative
    If your representative makes a request for disclosure of information on your behalf, the representative must enclose a copy of one of the documents to prove that he/she is your authorized representative (see 3. (1))below) and a copy of one of the representative's own identification documents (see 3. (2) below) in addition to the Document 1 above.

(1) Document to prove that the person is an authorized representative

  1. Letter of proxy written by yourself (stamped with your registered personal seal and enclosing a seal registration certificate issued by the competent municipality)
  2. A document to prove that the person has the right to represent you (a copy of the family register or resident's register that shows the relationship between you and your representative)

(2) Document to prove your representative's own identity

  1. Driver's license
  2. Passport
  3. Health insurance card
  4. Basic resident's registration card
  5. Alien registration certificate

Your representative only needs to indicate the prefecture in the information on their domicile of origin, so please strike through all the other details.

  • 4.  Fee for requesting disclosure and the method of payment
    We charge the following fee (including the cost of sending a reply) for each request for disclosure. Please enclose a postal money order to the value of 500 yen with the necessary documents.
  • 5.  How we reply to your request for disclosure
    In principle, we will send a written reply by post to the address shown on your request form.

We will use any personal information we have received in relation to your request for disclosure only to the extent necessary to respond to your request.

In the following cases we might not be able to meet your or your representative's request for disclosure. If this happens, we will notify you or your representative of the fact and the reason for it, but please note that it is not possible to refund your fee in such a case.

  1. When we cannot confirm your or your representative's identity
  2. When some of the required application documents are missing
  3. When the information which you/your representative have asked us to disclose does not fall within the range of personal information that we can disclose* (See the following explanation)
  4. When meeting your request is likely to endanger the lives, physical health, properties, or other interests of third parities
  5. When meeting your request is likely to seriously hinder our business operations
  6. When meeting your request will lead to a violation of laws and regulations

* "Personal information" refers to a systematically structured assembly of items of personal information, for any of which we have the authority to meet a request for disclosure, correction, deletion, suspension of use, or halting of provision to third parties. However, personal information that falls in the following categories ([a] to [d]) does not form part of the personal information that we can disclose.

  • (a) Personal information that could endanger the life, physical health, or properties of the person to whom the personal information belongs or of a third party if its presence or absence were revealed
  • (b) Personal information that could foster or induce illegal or unfair acts if its presence or absence were revealed
  • (c) Personal information that could endanger national safety, damage the relationship of trust between Japan and other countries or international agencies or could bring about disadvantages to Japan in negotiations with other countries or international organizations if its presence or absence were revealed.
  • (d) Personal information that could hamper public safety and hinder the maintenance of order such as the prevention, suppression, and investigation of crimes if its presence or absence were revealed
